Release Announcement: Post Gifts From DonorPerfect to QuickBooks Online

Eliminate double data entry to your nonprofit accounting software. Post gifts from DonorPerfect to QuickBooks Online seamlessly.

How do you balance the need to support your donor engagement efforts with the need to track funds and reconcile bank deposits? It’s a scenario that just about every nonprofit faces – the dreaded double data entry. You track gifts, pledges, contacts and other important constituent information in DonorPerfect. This is vital for maintaining a good relationship with your donors. But, your accountant wants you to track gifts and other funds in nonprofit accounting software like QuickBooks. You don’t have time to enter data twice! How do you choose? The good news is you don’t have to. Now you can post gifts from DonorPerfect to QuickBooks Online seamlessly.

For months now, participants in our successful QuickBooks Beta program have maintained their donor information and history in DonorPerfect while posting gifts from DonorPerfect to QuickBooks Online. In fact, clients that participated in our QuickBooks Beta Test program have posted over 83,000 DonorPerfect gifts for $41 million to QuickBooks. Following this weekend’s release of DonorPerfect, you can access our new QuickBooks integration, via the AppLinks menu. You don’t have to waste another minute doing double data entry.

Connecting to QuickBooks

Before you can post gifts from DonorPerfect to QuickBooks Online, you need to set it up. It’s a quick five step process that we guide you through on screen. In DonorPerfect, go to App Links > QuickBooks and click Connect to QuickBooks. Once you enter your Intuit Account information, you’ll be prompted to select your bank account, choose a post method, sync your donors, map general ledgers and map classes. That’s it! If you need to add additional items later, simply go to the Settings tab inside DonorPerfect’s QuickBooks interface.

How to Post Gifts from DonorPerfect to QuickBooks

We’ve made it easy to post gifts from DonorPerfect to QuickBooks Online. You never need to leave DonorPerfect to do it. During the setup process described above, you linked DonorPerfect donors and gifts to QuickBooks customers, classes, bank accounts, and income accounts. Once that’s done, clicking QuickBooks from App Links, takes you directly to the Post Gifts tab.

Post Gifts From DonorPerfect to QuickBooks Online and eliminate double data entry.

1. To post gifts, go to App Links > QuickBooks.

2. The first icon notifies you about Unposted Gifts based on the default date range of the last 90 days.

3. Click Show More Filters to adjust the date range and add additional filters. You can add any existing DonorPerfect Selection Filter (e.g., Gift amount greater than $100 in Pennsylvania) or create a new one.

4. In Unposted Gifts, either select individual gifts manually or choose the checkbox in the header to select all gifts.

5. Gifts with missing data won’t be included in Unposted Gifts. You’ll need to fix the missing data first.

6. Click Post Gifts.

  1. With this new integration, could you also integrate from Quickbooks into Donor Perfect (reverse)?

      Hi LaShaundra, Thanks for reaching out. No, the sync between DonorPerfect and QuickBooks Online is only a one way sync. It's best to enter all of your specific gift details into DonorPerfect and then send over only the pertinent information to QuickBooks since QuickBooks only tracks basic financial data. In DonorPerfect, you can track and report on important fundraising information, such as your communications, donor retention rate, solicitations, etc., that are key to your fundraising effectiveness.

    Is this for QuickBooks Online only, or for QuickBooks installed versions as well?
    • Same question - is this webinar on 03/08/18 only for Quickbooks Online, or also for Quickbooks Desktop???? We do not use Quickbooks Online and are not likely to use it in the near future since our access to internet and Cloud-based systems is extremely limited.

  3. How is this different than an IIF file transfer into QB?

      Hi Tracy, In this new integration with QuickBooks Online, you no longer need to download the accounting data file (IIF) from DonorPerfect and import it into QuickBooks on your computer. The process of syncing accounting data is now done automatically when you post your gifts via App Links > QuickBooks > Unposted Gifts . You never have to leave DonorPerfect to do this.   4. Does this only work for QuickBooks online? Has the processed improved for regular QuickBooks?

    We would like to sync only the amount deposited in the bank broken down by GL account # . Is this possible or do we have to sync individual donations. We do not want 10000 names in QB.

      Hi Tracey, Thanks for your question. When you initially connect to QuickBooks, you can select your posting method (Individual, Daily Summary and Monthly Summary). For example, select Daily Summary as your posting method to have the gifts post a daily total to your bank account and have each gift post to the separate income/GL accounts. If you don't enable the Sync Donors setting during setup, the donations posted will not be mapped to customers in QuickBooks Online.     It looks like this is only for Quick Books Online. Is there a plan to integrate with Quick Books desktop versions in the future?

      Hi Kathy, Yes, this new integration is for QuickBooks Online only. However, DonorPerfect does offer an accounting interface with QuickBooks Installed. This interface allows all of your gift entries to be exported from DonorPerfect and imported into the desktop version of QuickBooks. So there's a few more steps to the process than with the new QuickBooks Online integration that was just released. Your DonorPerfect account manager can help you compare the features and costs of each method and help you select a version that works best for your organization's needs.
