All right. Good afternoon, everyone, and welcome to our webinar. This is payment processing 101. This is going to be a really good webinar to give you an overview of the payment processes in DonorPerfect and help you either use what you have better. Or if you’re here to learn more, maybe you’ll find that this is going to be helpful in your organization. So let’s get in started with the introductions and the housekeeping. And then we’ll go right into the webinar. All right, my guess again, my name is Donna Mitchell, I’m really happy to be here with you. Trying to see if I see anybody that has been in any of my personal trainings, I don’t see anyone. But regardless, it is wonderful to have you all here. Nice, nice, nice class. Fantastic. So the first thing we’re going to do is talk about the benefits of payment processing. This is really going to give you an opportunity to see all the bells and whistles and things that you’re going to be able to do if you use the payment processing tools in DonorPerfect. I’m sorry, Kenny. The handout is in the handout section of your control panel. If you go back, you’ll see there’s a section in your control panel that says handouts. It’s a PDF document. You’re welcome to download that okay. All right. So we’re going to talk about the benefits of payment processing. We’re going to talk about some of the payment processing tools in DonorPerfect. And then we’re going to go over some available resources for you. Now the contents of this webinar may contain features and fields that are different than your own. Again, if you have a question, please feel free to send it over. And I will point you in the right direction. All right, so we already asked quickly how many folks are actually here to get more information. And there were a few. Then we asked some folks who were here, I’m sorry, there were a lot of folks that wanted more information. And then we also had folks that wanted to learn more about the payment processing services that they already have with DonorPerfect. All right. So if you are not enrolled in our payment processing, there’s a link in your handout that you’ll be able to use to go to that and do the form and fill that out. If you cannot find that I will be happy to go there after the webinar, just let me know that you need it. And we’ll go take a look. All right, so let’s talk about some of the benefits. So one, it’s a one stop payment processing solution, which includes Instacharge, which we’re going to be talking about monthly giving, which we’re also going to be talking about and mobile swipe. So you can actually get a mobile swipe device, if you’re using an Apple product smart device. And you’re going to be able to take those payments, using the swipe device on your phone, your tablet or whatever it might be. And you’re going to be able to take those payments on the fly. But we are going to dive into Instacharge and monthly giving. It’s going to save time by eliminating the need to re enter your data for recurring gifts. How many people want that? Right? So you’re always entering the payment information. One way or the other for these recurring gifts? Well, if we’re using payment processing, and our online forms, or even as to charge, you won’t have to do that. And I’m going to show you how that works. It eliminates multiple processing services as well as their associated fees. I was speaking with a client earlier this morning. And they said we want to get rid of this. Because they’re charging us way more than we’re you know, we really want to pay. And so they’re going to be using DonorPerfect payment processing services, because that that’s going to come down quite a bit. And it increases potential revenue by giving you the ability to handle any type of electronic payment through a secure, PCI compliant processing gateway account. And those are probably the most important words in this webinar, a secure PCI compliant processing gateway account. That’s where all the action happens. So let’s talk about that. The Save save gateway is what you’re going to be using when you sign up with DonorPerfect payment services. The Gateway is what encrypts the data from your donors and their credit cards. And it’s going to track and store and encrypt that information for you. But it also provides the handshake between that money that you’re receiving and your payment processor. So what I’m going to do is I’m going to come in and show you what this graphic means we’re going to take out all this stuff, but I do have some questions. And I may have to ask you to hold questions or put your questions in, please feel free, but I might have to. I might have to hold them off. All right. All right. So the question, first question, don’t have perfect have responsible for storing and securing donor cards info, correct? The answer is sort of, it’s the Safe, safe gateway that stores and secures the credit cards. It’s not DonorPerfect. So there’s no credit card information, stored in DonorPerfect. All of the information, the credit cards, expiration dates, all that good stuff is stored in the Save save gateway. And so the gateway, as we as I mentioned, is a secure, PCI compliant web based tools tool that manages your electronic payments. The Gateway is what provides a way for DonorPerfect to communicate with the merchant processor. So let’s talk about what all that means. I’m going to go over this graphic really quickly, so you can see what we’re talking about. And then we’re going to talk about the individual parts. So here, the donor makes their donation, they submit their form, it goes through DonorPerfect payment services. And then it goes down through the gateway. The gateway is what stores and encrypts that information. But it also provides the handshake to the merchant processor, we’re going to talk about merchant processors in a moment. The merchant processor is the entity that provides the authorization and also deposit the money into your bank account. So through the gateway, that authorization comes back in and tells don’t have perfect payment services. Hey, that payments, cool, it’s authorized, it’s ready to rock and roll. So that’s really how this works. You have to have a DonorPerfect, safe, safe payment gateway. Now, I also mentioned the merchant processor. So the merchant processor is the entity that processes all your transactions and deposits the money into your specified bank accounts. Now I’m going to talk specifically to to us clients and Canadian clients, because there are some differences. So don’t perfect Payment Services is the payment merchant processor for clients in the United States. And they process credit cards and bank drafts ACH. We also in the US for credit cards also use WorldPay as a merchant processor in Canada, WorldPay. And some clients still use vantage of that’s going to be available and they are going to process for Canadian credit cards. Okay, so us credit cards is going to be either DEP payment services or WorldPay. For Canadian clients, it’s either going to be WorldPay. Or if you’re an older client, you may still be using than Tiv for Ach, which are your bank drafts. They go through DEP payment services for clients here in the United States. And Paysafe in Canada. Okay, so that’s how that works. Now let’s hold that thought. Someone asks, Does this have a different name in Canada? Yes, I just mentioned that. So I hope that answered your question. Could we get a printout of this table? Um, actually, I probably could do that. So I’m just going to flag your question. So I can come back to that later. And can people donate crypto and also Venmo, PayPal, etc. So the answer to that is through the online, you know what I’m going to, I know you meant paper, I know what you meant. So it’s really hard to explain. I’m gonna have you reach out to support because I don’t want to confuse the situation. The answer is in some cases, yes. Crypto not yet. But Venmo and PayPal in some cases, so I would recommend that you reach out to support. Let me go ahead and put the support number in here
- So here’s the support, this is DEP support. And they would be able to help you, we also have our payment processors, you’ll get that information at the end of the webinar, so you can reach out to them. Okay. Great questions, folks. Thank you so much. All right. So that’s just a quick little graphic of what, how the process works. But it’s all seamless, right? You don’t see any of this happening. All right, so let’s talk about Instacharge. I love Instacharge. Instacharge is a great way for you to process credit cards in real time. So it’s going to process and authorize the credit card, as you’re entering it into the donor record. It’s perfect for one time transactions by phone, mail, or face to face, somebody walks into your office and says, Hey, I want to give you this money, here’s a credit card, you can tell them absolutely yes, I can take that money, we’re actually going to do a demo so you can see it. You can also quickly create monthly gifts very, very easily. I’m going to show you that as well. And you don’t need credit card terminals, phone lines or any extra software. never have to worry about that. Okay. All right. So let’s focus on a one time gift. So I’m going to jump into DonorPerfect. And we’re going to go into a record. Let’s go find, Bob Bob. All right, so let’s go in to Bob’s record, I’m gonna go to the gift screen. So Bob walks into the office, and he says, Listen, I want to give you $500. And here’s my credit card, you’re gonna be like II Absolutely, yes. If you have done a perfect payment services, what you’re going to do is go to the gift record, you’re going to click on Instacharge. And this is going to open up and allow you to enter either a one time or monthly gift, a recurring gift, which we’ll see later. And we can add a credit card or bank account right on the fly. So he gives you your credit card, and he says I want it to be for $500. And you’re going to put in the credit card information. Oops, put the right one in the right wrong one and right. Because this is all fake, fake, fake. And we’re going to do it. Alright. So there it is, I’m going to process the $500. Once I process it now the merchant processor, the gateway is saying, hey, merchant processor, this credit card is coming through, is it okay? And the merchant processor says, Oh, yes, it is. There’s the transaction ID and it was successfully processed. Now it’s going to redirect you to finish entering the gift data. So I’m going to finish entering my gift, you’ll notice that my gift amount is already there, you will notice that the type of gift says visa Instacharge, right, because I did it via Instacharge. And now I can fill out the rest of my information. Fantastic. I click on Save. And now my gift is saved and ready to rock and roll. Easy peasy. Okay, so it does all of that in one shot. All right, let’s keep on going. Let’s talk about monthly giving. So if you have donors that are doing recurring payments, right, you’re going to be able to manually or automatically process those payments. Okay. And what’s really nice with the automatic is you set it and you pretty much forget it, those folks are going to be charged every frequency for the amount that they have committed to. And all you do is set it up. It is an efficient way to process pre authorized pledges, monthly gifts and membership renewals. And all of this data again goes through that secure PCI compliant storage. The safe safe gateway. Okay, so now what we’re going to do is go in and use Instacharge again, but this time we’re going to create an open ended recurring pledge. Question, will the client get an email confirmation of the charge? No, they won’t, but they should be getting a thank you letter from you. Okay. And if they’re doing it via an online form, they would get an email, an automatic email, thanking them and a receipt. Okay. All right, let’s jump back into DEP DonorPerfect. All right, so this guy does not have a pledge. So this is a perfect one to do. So we go back into Bob’s record, and I’m going to go back to Instacharge. But Donna, we’re on the gift screen, why wouldn’t you do that? Well, we can enter pledges multiple ways. One way is to manually enter it, which we’re going to do in just a moment. But we’re also going to be able to produce a monthly recurring gift through Instacharge. So we literally just go to the gift screen, click one ends to charge. And now what you’ll see is that option for one time, we’re going to change it to monthly. And let’s say he’s going to be really nice and give us $10 a month. Okay? Again, I’m going to add my credit card. Oops. And put in our ration. Now, something you’ll notice, the last time when we did this, the Save and the Save as Default or optional, we could save it if we wanted to, we could make it default, if we wanted to, when we’re entering a recurring gift or pledge, it automatically saves it and sets it as the default. Why? Because it’s going to automatically be charged every month for that $10 until Mr. Bob gets calls back and tells us to stop. So I’m going to click one process $10 per month. And again, like that gifted it’s going to go to there’s my transaction ID, it’s successful. And now let’s gonna go to the pledge screen. So I can complete the pledge transaction. So here’s my billing amount, $10. There’s my frequency, monthly. And we can fill in the rest of the values. Let’s do it. And this is going to be my monthly donor. Thank you. Now look, you’ll notice here that there’s an option that says monthly giving Yes. And when we say monthly giving is really any frequency. And when this says yes, then my payment field becomes required. So it saved the credit card. But it also made it the default, so that when we save this, it’ll automatically charged Bob every month for $10 until he calls and tells us to stop. All right. So I’m going to save this. And now they’re ready to rock and roll. Okay. Now, what if Bob only wants to give 12 monthly gifts? Can I set him up at the end date? Absolutely. So I’m glad you said that. I’m going to show you that. Jessica, the question was, What if Bob only wants to give me 12 monthly gifts? Well, when we’re entering this, we can say? Well, when you initially enter the pledge, there’s a number of payments. But if we know the amount is going to be a certain amount, we can put in that 120. And what will happen is when this total paid equals the total amount, it will stop. But when you initially enter a pledge, and I’m going to show you I’m glad you asked that, Jessica, that’s such a great question. So I’m going to click on Add pledge. And now this time, I’m going to enter manually enter the pledge. Okay. So what I’m going to do, this donor wants to give quarterly. So I’m going to add this personally, manually. So what we’re going to do, we have our pledge date and start date. And they don’t want this to start until March, let’s say 315 2023. Okay, so I can put that in. So the pledge date is the date that they make the commitment, the start date is the first date of billing. Again, if I know the total amount, I can totally put that in there, no pun intended. So I can put in what the total amount will be. But I can also put in the billing amount. So let’s say the billing amount is going to be $150. But the frequency is going to be quarterly. And then of course I fill in the rest of my values
and I’m going to do a thank you letter, but this we’re still going to put monthly here don’t worry about that. Now because I want this to come out automatically. I can go ahead and set monthly giving to Yes. And then I can add my payment method here. So I can use the existing payment method or add a new credit card or bank account. Okay. So what will happen is this person will be billed $150 Every quarter on the 15th. So the first month Have the quarter 15th day of the first the 15th day of the first month of the quarter, and it’s going to be charged to that credit card. Once again, if I know there’s a certain amount like it’s going to be $1,500, I can certainly put that in there. And then when this total paid equals the total amount, it’s going to automatically stop. All right. So again, we can set this and now we’re ready to rock and roll. And we have that pledge in there. That was a great question, Jessica. Thank you so much. All right. So monthly giving input options, how can we get monthly giving gifts into DonorPerfect? Well, one way is to use your online forms, your online forms are set up to take both one time payments and or recurring payments. recurring gifts always create a pledge, they always create a pledge. So the donor could fill in a form with that pledge information. And it would come into DonorPerfect, we download it. And because the credit card or bank account is on there, it’s going to be automatically processed every month for the frequency at the frequency and the amount that the donor committed to. And then of course, all of this is stored in the safe, safe gateway. And it is approved, processed, and the money is deposited by your merchant processor. We can also enter a monthly gift through our DP mobile, if you don’t have the donut perfect mobile app, I recommend that you get it. Because this is going to be a great way for you to track your donors as you’re traveling, working, you know, having meetings at lunch or whatever. But remember, we can create that recurring pledge in the app. And that will go into DonorPerfect in real time, in real time. Okay, Jessica, I see your question. I’ll be right there. And then of course, your recurring pledges can come through manually, just the way we did it either through Instacharge, or manually entering that information. Okay. Let’s see the question. What if in the middle of Bob’s pledge, he decides to go from 150, a quarter to 200, a quarter and up his total to 2000? Can I edit the gift? Or do I need to add a separate $50 quarterly gift? Or do I need to cancel the first recurring gift and create another one for 200? A quarter? So the answer is what did everybody think the answer is? So Bob calls in he does it the first chord, he’s like, You know what, I’m gonna get bless you with some of my money. I want to update this, what you want to do is you don’t want to edit the existing pledge, you do not want to do that. What you want to do. Let’s go in here. I’m going to do a payment real quick. So you can see how this works. I want to go into another record altogether.
Let’s go on and on. Record this, Donna DOMA. So let’s say here’s a good one. I want to go into this one. And it says, okay, Donna,
this is Donna’s going on $100 A month forever and ever. She’s already paid $400. But she says, You know what, I want to do a different monthly, I want to up it to 200. What you want to do is close this pledge out? How do I close it out? Remember, you’re going to put that total paid into the total amount 400, you’re going to turn monthly giving off and save. So that stops that pledge. And now you’re going to start a new one. So you would create a brand new pledge. So the answer is, if they’re upping their pledge or lowering their pledge or changing it, go in, close out the existing pledge and create a new pledge. Thank you, Jessica. That is such a great question. What happens if the credit card needs to be updated? That’s a great question. I’m gonna hold that to the end. Okay. So I’m going to just hold that to the end, because I want to speak specifically to that. All right. So that is how you close out a pledge. Let’s keep it moving. And let’s talk about adjustments. So once upon a time, if a client or donor called and said hey, I gave you 103 If the dollars but that was only supposed to be 1500, you would have to go into the gateway and edit it and go in and edit the gift or delete the gift and do all these things, you don’t have to do that anymore. In the record itself, you can void or refund from within the gift record itself. It automatically updates the gateway. And there’s then an adjusted gifts report that you can run. So you go in, change the amount, apply the adjustment than that. And there you go. And it updates the gateway automatically. That means you don’t have to go on the Gateway and do anything, all of this talks to the gateway. So let’s do this, let’s jump back into DonorPerfect. To do Lulu due to her my types of gifts in here. So what I’m going to do is this. Now, what’s the difference between a void and a refund? A void is what happens the day of the transaction. So Donna walks in. And I say here’s my gift, I want to give you $150. And I call you back and say oops, that should have been 100, you can actually void that transaction, void can happen. And when we void it, that means it’s like it never happened. Void can only happen before settlement. So every night at a certain time that’s defined in your gateway, your merchant processor will settle those transactions for the day. So I think it’s like 7:30pm, whatever your time is, right? And so it’s going to settle so we have all these transactions that came in, it’s going to settle all those transactions anytime before that, I can void those transactions as if they never happened. After they settle, however, I have to refund, okay, because it’s already happened. The money’s already been processed. And now we have to go in and refund. So depending on your situation, it’s going to determine what’s going to happen. So let me go to I’m just gonna go to this old gift. And you will see it came in via visa EFT, I don’t want to do that one, I want to do this one. Let’s go into Kathy. Let’s see what she’s got. Now, here’s the thing. And this is the big secret. In don’t imperfect, we have a fake gateway, we have a fake. Everything is fake, right, it’s all test. And so we never settle our transactions never settle. So unfortunately, we won’t be able to see the refund. But if I go to this check, this is a check, right, this was manually entered as a check, I can go in and enter the new amount and apply the adjustment. So let’s say that was supposed to be $20. Right, I’m gonna go in data entry or say donor call back to adjust the amount by we’re going to apply the adjustment. And that’s what it’ll do. It’ll apply the adjustment. Click on Save. And now we’ll see in this gift, there’s an icon here. And this icon is going to show you that whole journey. So the original gift was $25 the donor called and said oops, it should have been 20 That’s the new amount and now we have the adjusted amount. So I’m able to adjust that amount very, very simply. However, if I have a gift let’s go into Donna’s record. Now remember we haven’t settled so the only option I have is to void something. So I’m gonna go in here and I’m gonna go here and you’ll notice that I can’t change there’s nothing I can change here the only thing I can do is void the transaction because I have not settled if my transactions had settled in real life, I would see an option here that says refund also. So the refund would be here if this has already settled. The only thing I can do at this point is void it when we void it or refund from DonorPerfect. It automatically updates those transactions in your gateway? So the question is, so we have to go back and don’t perfect and enter the void and refunds manually, correct? Yes. But the good news is you don’t have to update the gateway. Okay, what used to happen was you used to have to go in to the gateway. So I’m gonna go to apps and processing gateway, you’d have to go find your transactions are really seriously real. I’ve had such a day to day, I was hoping that this would be really nice and sweet to me, but it’s not going to that’s alright. So basically, what would happen is, you would have to do your voids and refunds in the gateway. And then you’d have to come back in here and change update the gift. Now, what you do is you come in and you do the void or the refund from the gift and it updates the gateway. So your your, your reconciliation, and all of that will be ready to rock and roll. And Okay.

Alright, let’s go show you the adjusted gifts report. And then I’m going to have to switch to another system. Alright, so I’m going to go to reports, and the Report Center. And there is a report called The adjusted gifts report. This is going to show you the details of adjusted gifts in a specific date range. So if I did this for let’s just do it for the first of the month through this month, let’s just do that. And I’m going to run the report. Let’s see what gifts were adjusted this month.
So here we are. And so here you’ll see Kathy Robins, that’s the one we just did. And you’ll see the information. So it was adjusted for the $5. You’ll also notice that you’ll also notice some other ones that have failed. This was literally an adjustment. And if I scroll all the way over, it should so the notes Why is this not showing notes? Let me go back here on the one second.

What in the world? Oh, that’s because I have a crazy date range in there. That’s not going to work. And there we go. So now you will see, here’s this is what I was talking about. This is what I wanted you to see. So here, it this was all corrected. Right. So here’s the original amount, it was adjusted or refunded for $50, it was basically refunded, and then you will see the corrected amount. So all of this shows up on the donor record as well. Okay. And now you can see that your notes will show here, which is exactly what I wanted to see. And then of course, we have all of our pages, I should see my friend, Pam pledge. So you see Pam had a gift, we actually voided that gift, you see that? All right, I’m gonna log out of here and go into a different
system. Just to make sure I’m able to get where I need to go.
And there’s your adjusted gift report. All right, the gateway. So the gateway, I keep talking about this gateway, it is actually a thing. And so you’re going to be able to get to the gateway to see lots of information. So provides a means for merchant accounts and DonorPerfect to communicate, right. So DonorPerfect gets the gift, the merchant processor processes and dumps the money in your bank. But the gateway is what allows those two to communicate, you’re going to be able to access it from the apps button on the menu ribbon. And you can access it also from the website using your username and password that you would use for the safe safe gateway, which is different than your DonorPerfect tasks. You’re going to go there to tasks, you’re going to be able to do some tasks and look at different transactions through this transaction snapshot report. And then there are other options in there to help you reconcile. So we’re going to jump into the gateway
And let’s see if the gateway is going to be kind to me today. So you’re gonna go to apps here on the menu ribbon, and the processing gateway. Perfect. Now this is our test account. And I mentioned that over and over, because this is not real and we never settle. And Cindy, I see your question, I’ll be right there, okay. All right. So in here, let me just give you a little quick lay of the land. At the top, you’re going to see the last transaction, the name of the donor and the transaction ID, if we click on this, it’s going to drill down and show me the details of that transaction. So I can see, right, this is pending settlement, as all our gifts are, and you’ll see more information about the transaction itself. I also on the sidebar, have these transaction reports that I can go to, we can take a look at this transaction snapshot, which we’ll look at. And then we can search for specific transactions. So let’s do the transaction snapshot first, you’ll notice that we have a date range. So we can use that date range, we can also use any of the functions in that drop down. And then we can group it by any one of these options by settlement batch. So remember, you guys actually do settle for real, right, so you’re gonna have some gifts, some transactions that have settled from last night, previous nights. And you’re gonna have some that are pending today, those that came in today, you can do it by card or payment type, you can do it by any one of these options. So what I’m going to show you first is the settlement batch. Now this is going to be in this date range, and I’m going to submit yours is going to look slightly different, because you’re going to have a row that says settled. So that’s going to be all your old stuff for that month or time period. But you’ll see that I have 408 transactions totaling $38,000. And these have not settled yet, in real life, they would be if I click on the binoculars, there’s a couple things I can do. I can then group these by card payment type. So this is going to group them by AmEx, Visa, MasterCard, Discover Your echecks cash. And you’ll see all of that there. So it breaks it down for you. And then if I wanted to really get into it, I can click on the binoculars or sorry, the magnifying glass, drill down and see those transactions. So if I click on that, it’s going to drill down and show me all of those transactions, you’ll see the transaction ID. Again, this will drill down allow you to see that exact transaction name of the donor, there’s the mask of the credit card information, the amount and the time. There are several pages, I can export this out if I need or want to. Okay. If I go back to my reports and I go down here, now I can look at the transactions, like today’s or if I want to look at any particular statuses, I can do any of that. I want to show today’s transactions and show you what we’ve done today. So this is all that happened today. All right, we had all these transactions in this. And this is not the one we were just in this is a different database. But you can see all the transactions that occurred today. And there were 49 total. And we go to the end. And there you’ll see. Okay, so these are great reports for you to do your settlements and I’m sorry, your your your Oh, reconciliations that’s what I was looking for. All right question. Now Cindy had a question. Could you also show us how online gifts by donors are by donor using DonorPerfect forms is downloaded into donor. In other words, you want to see how the online form transactions are downloaded into DonorPerfect. Okay, yes, I can show you that. I think we have some time. So let’s go here. So first of all, you may have an alert letting you know that there are forms that need to be downloaded into DonorPerfect, that alert could be set up so you can do that. If you need help with that you can reach out to support but what you would do If they’re not being downloaded automatically, you’re going to go into apps and online forms. And what you’re going to land on is what we call the review and acceptance Center. This is also covered in DEP online forms one to one, when you see a certain number, right, you see that one, that means that these are pending transactions, that means they’re pending download, they need to be downloaded into DonorPerfect. So let’s do this. I’m just going to select all. I’m just going to find a good one. So when you select the pending number next to the form, it’s going to open up to show you the transactions that make up that number.
This happened to me in my last webinar, but that’s all right. Let me try something. Oh, that’s not what I want it. Oh, hold on one second. I’m going to do that last. Okay. So if it hangs up on me, we don’t have to worry about it. I want to make sure we get to the rest of this webinar. All right, so let’s do it. Let’s get back. And I will flag your question so I can answer it later. All right, how do we get help? Well, if it’s a payment processing information that you need, or you need help with, you’re going to reach out to our payment processing support team. Anything that’s gateway related, your merchant account, voiding and refunding a payment, Gateway billing, changing bank accounts or adding bank accounts. So let’s recap and then we’re going to go over some of your other questions. Instacharge provides an easy to use real time way to process your gifts right in DonorPerfect. Monthly giving provides a way for you to easily process recurring gifts within DonorPerfect, you don’t have to send reminders, you don’t have to manually add the payments, it happens automatically. You can easily adjust gifts from the DonorPerfect record. And all transactions and adjustments can be viewed at the Gateway. The safe save gateway provides an easy way to see which transactions have settled. All right questions. The slide deck will not but the recording. You can actually see this recording. And I believe it will be sent out to you tomorrow. But you’ll be able to see this but the slide deck is not going to go out to you. Okay, any other questions before we jump in and take a look at a very simple way of downloading online form transactions.
So again, back into apps and online forms. Again, you’re going to see all of those pending transactions. And if I just click on one, I’m going to click on that one. Here’s a gift for 5150. I’m going to select all. So if there are multiple, we would be able to select them. And then we’re going to download to DonorPerfect. In this particular case, it’s saying, hey, there are matches potential matches in the system. What do you want to do? Well, in the pink, is what the donor wrote. It’s matching on the address. But right now up, there’s Kelly. So I’m going to update this existing record, I just want to add the gift. I click on Continue. And now that transaction from I think it was January 17. Let’s look up Kelly.
There it is. Okay, if we go to her gift, there’s that 5150 gift right there. So it’s very simple, you just click select and download. Okay. I would also recommend that you check out Donna DB online forms one on one, it’ll go over that in much more detail. We did not discuss anything about online forms transactions. So you did not miss anything. You didn’t miss anything. I didn’t discuss that at all. So that’s going to be on the DEP online forms webinar. Which I can’t remember if that’s tomorrow, or no, it’s not tomorrow, it’s going to be next week sometime or something like that. So you can set your online forms to download automatically. But by default, they do not download automatically. Which entity processes payments drafted from bank accounts? Are you in the US or Canada? In the US, it’s going to be DP payment services, or WorldPay. More than likely it’s going not WorldPay. More than likely it’s it’s DP payment services for you. If you’re using DB payment services.
When Bob changes, pled we needed to start a new pledge. Do we need to ask Bob for his credit card number? That’s a really good question. And in that case, if the answer is it depends. So in the case of let me go back to that record, because we did change that, and I’ll tell you why. We didn’t have to ask him. In this instance, it’s because we did that Instacharge originally, or the credit card was already on there from the online form transaction. So if we go back into Bob’s record, we always have to consider how the pledge was created. So if the pledge was created through an online form, or through Instacharge, remember that credit card information is there. See that Accounts tab with that little dot? That indicates that there are data on that screen? So because Bob did an Instacharge, or did an online form transaction that did the recurring pledge, his credit card is now there. It’s not in DonorPerfect. It’s just displaying so we can select it. There’s the vault ID, that’s what makes it safe and secure. Great question that being I appreciate that. And thank you for helping me clarify that. I appreciate you. And the other questions. This is great. Oh, her question was, when Bob changed his pledge, remember, we changed his pledge? Because he went from 150 to 200 a month. And we created a new pledge. Her question was, do we need to ask Bob for his credit card number? And the answer is because we entered it through Instacharge? Or if it came in through an online form? No, we would not have to ask them because that credit card would be stored on connected to him, and we wouldn’t be able to use that existing credit card. Now if he wanted a different credit card. Yes. You would have to say, Bob, did you want this little another card and do it that way? Or have them fill out the form and have them do it that way? That helped. That was a great question. That was a really great question. The D Yes, I do too. I really liked that too, because it’s really going to make it a lot easier for you. Melissa says she likes the fact that it stores Add a card. And it is really, really huge because that’s what’s going to do that automatically. And if you’re doing a gift, it’s a one time gift. Remember, when you’re doing the one time gift let me add a new card, I want to pretend to add a new card, right? You’ll see at the bottom, when I’m adding us a one time gift, I have the option to save or and or set it as a default. It’s not required for one time gift, right? So you would have to ask the donor, can we save your credit card, leave it on file, then you will click on Save. And now that credit card will be available for you to use. And yes, the vault ID ensures that the donors card info is safe and secure. That is absolutely correct that vault ID is the safe safe gateway vault ID. And that is where that information is. You could scour DonorPerfect. And you would never, ever, ever find this credit card number in the system or in the gateway. Even in the processing gateway, you’re not going to see that credit card information you’re just not. It’s stored behind the scenes safe and sound. great questions, great conversation, too. Yes, they’re going to be safe entering their info. But what you want to do, Cindy is cost support, there is a way that you can embed the form in your website, so that it looks like it’s a part of your website, as opposed to them going to a different screen. So please reach out to support, they’ll be able to guide you in the right direction. You can even look in the knowledge base and look up, embed my form. And I think you’ll find it there. Do I have a recommendation for swipe devices? Yes, you want to reach out to our payment processing team or the support team. And they will be able to give you the information you need to get it. It is a specific device and is nothing like you can’t use other devices. You have to use one of ours. So you want to reach out to support and they’ll guide you in the direction.
