Good afternoon, everybody. Welcome to our webinar. This is the second of two webinars that we are doing, where we really want to communicate that we will be able to get through these uncertain times together. My name is Kelly Ramage, and I am serving as your instructor today. And the webinar that you are joining me is called six ways DonorPerfect and their partners can help you. So a couple of housekeeping items before we jump right into the content is to first off say that I am being joined by my colleagues, Sean and Laurie. So I’ll explain their role as we move along here. But it is my voice that you will be hearing, but they will be able to help you as we move forward here. So let’s talk about some of the details. So first off, we use GoToWebinar, which is just an application that helps us broadcast the information. So that’s going to be a DonorPerfect system at times that might be an online form that might be a Word document that might be DonorPerfect itself. So there’s a lot of different things that I’m going to share with you. But as webinars go, you know, it’s mostly sit and watch. But don’t be fooled that you won’t be involved or asked to be involved in some way. So that brings us to the control panel. The control panel on the outside edge has a little button or tab and in it is an arrow at the top that you can use to collapse the control panel or expand it back open if you want to participate or ask questions. And then there’s a little raised hand, which is just a way to let us know that you have a question. In terms of our audio connection, there’s two and it looks like many of you are using the computer audio. But if you would like to switch between the two, you can certainly do that. Just know that when you go to select phone call, the phone number and access code will be provided at that point. One of the things that we have provided in today’s session are several handouts now two of them are for you. And when I say you, I’m assuming the adult, the person using DonorPerfect. And you’re going to see that one of them is a handout that is titled getting through these times uncertain times together. And that is really kind of a resource, a guide and agenda and outline of everything we’re going to be covering. The second is called a segmenting worksheet, which I would encourage you to grab and at least download if you are within reach of a printer, go ahead and print that out. Because we’re going to be using that as we move along in our content. The other handouts is for the children or for the children that you might have sitting next to you because we know that our office mates have all of a sudden change their appearance, some of them have four legs, some of them are much smaller than some of the colleagues that you might be used to working with. And it’s just our desire to perhaps provide a distraction for those children that might be sitting around you. So perhaps they’re helpful, if not pass them along to other people. Now, in terms of just housekeeping, yes, this is going to be recorded, yes, you will be receiving an email of the recording. And basically what’s going to happen is about an hour after the webinar ends, you will receive an email that will contain many different resources, as well as the recording. If for some reason you can’t get that recording, or you can’t find that email, rest assured that we will be posting this on our DonorPerfect.com site. And you will also be getting another recording probably early next week with access to it as well. Now in terms of your involvement today, I’m going to give you a heads up that if you have questions, I encourage you to ask them, because I Laurie and Shawn are here and they are going to be fielding the questions. So any questions that you have about the content or anything at all, please send them their way, and they will happily answer those for you. You’re also going to use that questions pane from time to time if I ask you a question, and I’m seeking your response. So that’s one way that you can be involved. The second way that I’m going to encourage you to be involved is there’s actually going to be a poll. So if you logged in, you saw some information about how we’re going to approach that poll, but that’s okay. If you didn’t get it. You’ll see it when we get there. And then the third way that I’m going to seek your involvement is with that handout, so you don’t have to participate in any way you can just sit and absorb the information and we will get it into your hands one way or another. So With those housekeeping items taken care of let’s jump into the content we have to go over. So one of the things that I want to communicate on behalf of myself and my team and everybody at the company, software, which is DonorPerfect is that together, we believe if we rely on each other’s expertise, we will be able to build creative ways to connect and help each other get through this new normal. We don’t know how long this new normal is going to last. But we believe together, we can do that. So one of the things that we are going to be referencing today, and you may have seen it is that we really do want to be able to help you. So there is going to be a link to an online form that you can fill out in the emails that you will be receiving about ways that you could get help from us. So certainly you can reach out to support, you can always reach out to them. But this is kind of specific things that might be more than a support call. So I’m not going to sit here and read the form to you. But I would encourage you to complete it. And I’m going to point out at different opportunities in our time together when this might be useful. So that is one thing that we want to make sure that you know that we really are in your corner and wants you to be successful. Now in terms of what we’re going to be covering, as we move forward in our time is six ways that we believe that I believe that DonorPerfect and some of our partners can help you now when I say our partners, I’m not going to be doing demonstrations of their product, I’m just going to simply be doing a shout out. So I’m going to be focusing my time on DonorPerfect and what it offers you. So the first category of ways that I believe DonorPerfect can help you is saying thank you, because I think everybody would agree saying thank you never gets old. We’re going to review how going mobile is definitely going to be in your court right now. And we’re going to talk about some of the options that you have available. We’re going to be reviewing ways that you can stay connected with your constituents and your donors, your prospects, we’re going to be reviewing segmenting your list and what that entails. We’ll be identifying and thinking creatively about how you can communicate with pictures and videos. And we’re going to discuss engaging and appreciating your volunteers. Now we could have other ways that DonorPerfect could help, I had to choose six of them. So these are the six that I’m choosing. Now keep in mind, at any point, if you have questions, send them to Lori and Shawn. And also keep in mind that we only have a short amount of time. So I’m not going to be able to go over everything in great detail. This is really just to kind of maybe remind you, maybe inform you for the first time, maybe brainstorm together. But always keep in mind that we really want to help. So the first bucket or first category that we’re going to be talking about is saying thank you now, I’m going to hope that many of you are using DonorPerfect to say thank you, and you’re using the receiving process. But I’ve been doing my job for a number of years. And I know that all of you are saying thank you. But you’re not necessarily saying thank you using DonorPerfect. So I want to just make sure that everybody’s aware of what’s available to you. For those of you who might be using our online forms, which I’m hoping it’s a lot of you. But did you know that with online forms, you can also kind of craft an email in there, that’s going to be a way to say thank you. And believe it or not something that I have seen kind of go up a little bit in its use right now, because of our new normals is the idea of handwritten notes. Now, not everybody has the time to write notes. But maybe you do. So let’s talk about how DonorPerfect can work for sending out thank yous. So I’m going to go ahead and hop into DonorPerfect to do a bit of a review of the receding options in DonorPerfect as well as where you can find the capability to send a thank you in an online form. So I’m just going to switch over to DonorPerfect.
And it looks like we’re in good shape. So in terms of the receiving process, the gifts go into DonorPerfect and one of the things that is going to be filled in on the gift screen is a field called thank you letter. And it’s just an identifier in terms of the type of information that you want the message, you want to go back to the donor. So if I were to just go into a donors record, and quickly review where that field is added, so everybody is familiar with it. I have want to give screen a field that you all have, you might be labeled differently, that is there to identify the type of letter or communication you want them to receive. Now that communication can be sent to them in the form of a letter or an email. So you enter for a period of time. Now that could be a manual entry that could be through Batch Entry, that could be through an import that could be from an online form. But all of those gifts, pledges, pledge payments, online gifts, they all come in to DonorPerfect, and then they in turn, need to receive an acknowledgement or receipt. So there is a process, a tool, if you will, called receipts. And when we go into receipts, it’s going to take the data that you have entered for a period of time. And it’s going to give you the ability to quickly send back out the acknowledgments. So you can do both emails and letters at one time. And when we go through the process, now I’m not going to go into all the setup, you can say, okay, DonorPerfect, here’s everybody that I need to thank everything that’s new, I want to shoot off those emails. So you can build an email template within DonorPerfect. So this is specifically for receiving. And you can produce those emails. So you can set this up and say whatever it is that you want it to say, but you can insert, insert the fields like gift amount to thank the donor. And you can preview them make sure that they say what you want them to say it looks like the way that you’re hoping, and then you can send them out. So then after you’re done sending your emails, so this is email receipts, it pushes me right over to the next spot where I can produce my letters. So again, with a little bit of setup, you can get everybody who needs to get a certain type of letter, because again, this is pointing back to that thank you letter field, using this cool functionality called instant merge, I can produce my letters
they can have lots of different letters. And then it’s a merge. And here, once it opens, I’m going to show it to you. There it is. Okay, so it’s just it’s a merge result, you get to decide what the email looks like you get to decide what the letter looks like. But I just took several gifts that were entered into DonorPerfect in a variety of ways, and process them out to say thank you. So it’s a pretty cool tool. If you are interested in learning more, we have resources where you can do that. The second option that is a DonorPerfect option, if you will, is connected to an online forum. So I don’t know how many of you use online forms, it’s a really great tool to get online donations, whether they’re one time gifts, recurring gifts, what have you, I’m going to go ahead and edit one of my forms. And this just happens to be the form for a bike race. And one of the options called Set email options is available for every forum where you can set it up to say what you want the message to say. So imagine your own online experience, you enter in your donation, you enter in your credit card information, you press submit, and then almost instantaneously, you get an email in your inbox, confirming what just happened. And if we’re smart, if you will about that. You can say thank you. So it could be the official Thank you, it could be a quick way to say thank you and hey, you’ll get your official receipt in the mail. And then you can produce that through the receiving process and DonorPerfect. So receding is something that I think we all agree is really important and we want to do it as quickly as possible. But especially now we want to make sure that we’re saying the right thing. So review or build those communications to say what you want them to say. So that’s our first way that DonorPerfect and its partners can help you. So resource stop to learn More about receding. There are several webinars, I would encourage you to take a look at the live and recorded webinars, you can also use personalized training. There’s a lot of great resources in our knowledge base. If you search for receding overview, you’ll get some good information. Our shout out is to cause vid. So this is one of our partners, and they will give you the ability to do videos to say thank you. So don’t imperfect online forums and cause vid are three ways that you could consider saying thank you to your donors. Alright, next. Next topic going mobile. Now, you know, it’s 2020. I think we all acknowledge that we live in the world where everything is going mobile. But one of the things that I don’t know that everybody realizes is that we have a mobile app. So you might be thinking, Well, why do I need a mobile app? Well, I don’t know about you. But I can always find, you know, my battery for my laptop and it dies. And I need to get some information from DonorPerfect. So I whip out my mobile device. So if you download the free mobile app DEP mobile, it’s going to just simply provide another way to access DonorPerfect. Some people have very active board members or even volunteers. And so you want to provide a way that they can get their tasks assigned to them. without them necessarily having to log into DonorPerfect, that’s a little bit more convenient. Well, if they have their own unique login, they will be able to see from one of the reporting options in the mobile app, those very things, the things the tasks that have been assigned to them. Another added benefit of the mobile app is that you can process a gift as you’re talking with the donor Now, realize there is a swipe device. And we’re a little bit limited right now that we can’t do that. But you can do the manual entry. So one of those benefits, if you will, the mobile app. Now you might be thinking, how does that work? Do I have to have anything special if you are set up to process payments, electronic gifts with your DonorPerfect system, maybe through online forms, or Instacharge, or automatic monthly giving, you will also be able to process transactions, whether they’re one time gifts or recurring gifts by using DP mobile. Now another option that many people think about when they think about going mobile is text updates. And the text updates is going to be a function potentially, if you choose to use it, have one of our partners, and the partner that we want to do a shout out for going mobile is called DP text. So going mobile is something that I think is a really handy feature and function. And I find it especially helpful because I’ve heard many people say I just need to get some, you know people to see what they need to do and just make those calls. And that mobile app is a great tool to do that. So our resource stop for going mobile is again, there’s a live webinar that will cover this called contact management, we can certainly go over it in personalized training. There is are great resources in the knowledge base about DP mobile for an iOS as well as an Android device. And the shout out as I’ve already mentioned, is for our partner called DP text. Okay, so our third way that DonorPerfect can help you is going to be talking about how we can stay connected to our donors. So what I want to do is I want to now hear from you before we jump in, in two to three words, describe how you are connecting with your prospects and donors. So I’m just going to pause and give you the opportunity to pull out those mobile devices. Or you can use your computer whichever you prefer. And don’t be shy but use two to three words to describe how you are currently connecting with your prospects and donors. And of course, you can use two or two or more words, but I’m just kind of giving you a guideline. So I’m seeing a couple of things popping in phones, snail mail, email, phone calls, social media. All right, let’s see what else is coming. Okay. People are sending it in the Questions pane, which is certainly faster than this poll. Sending hardcopy letters in the mail. Yes. Let’s see emails. Okay, so Shawn and Laurie as you’re screening this information coming in, and as I see the poll, let’s see what the most creative way that we can connect with our prospects and donors. Okay. emails and phone calls, thank yous, handwritten notes. I have to tell you, one of the things that His most creative that I personally have received is a coloring sheets. You know those adult coloring books, if you will. I actually got one from somebody an organization that I support and I thought that is the most creative thing to send because it’s a thank you. But it was a way then for me to entertain myself. Okay, some people are saying they’re using Constant Contact
Oh, stickers. Okay, I like that. video. Thank you. Oh, with their kids. Fantastic. Oh, an illustrator. Okay. Very good.
Oh, people are starting to use Zoom for one on one cause. Fantastic. But sitting six feet away. I love that, of course, yard signs. Yes. I just saw it started seeing
that. Wonderful, we you all are very creative. Okay, great. Well, what I’m gonna do is I’m now going to kind of take some of what you’ve said said, and we’re going to now kind of apply it to DonorPerfect. And I’m guessing since you’re saying that you’re doing this, this might be a little bit of a review for some of you. But how can we stay connected with our donors and prospects using DonorPerfect? Well, you’ve already said it phone calls, and then personal emails or letters and timely reminders now. Okay, what do I mean by that? How does that apply to DonorPerfect? Well, let’s say that I want to get a list of people who have given in the last two years, but not within the last two months. So it’s really like from January of 18, through Jan, dub the end of January 2020. Okay, so that’s who I want. So I want to produce a filter, and I want to get a list of those people. And then I want to start assigning things to people. And then I want to kind of keep track of who’s doing what, so let me just get into DonorPerfect. I have too many things open here. There we go. Okay, so first off, we have the the way we want to stay connected, but how can DonorPerfect help us kind of stay on top of it, or to see that we have the right people. So one thing that we’re going to be reviewing and there’s going to always kind of be almost an assumed reality is that you are going to have to filter kind of who you want to include. So you can build a lot of different criteria, I’m going to use one, that is what I just described, I want to see people who have given since January of 18, through January of 2020. That’s who I want to focus on. So I can go in here and I could build any type of report, but I want one that has their phone numbers included. So just a little bit of a showcase of how to build a filter, you’re going to choose a report that you want to use. And then we can apply a filter. Now, depending on kind of how you’ve been using DonorPerfect historically, you might have some of these filters already built. But if you don’t, then you can always add new filters. So again, I can’t get into too many of the details here. But just to say that we are here to help you kind of identify those, that group of people that you might want to stay connected with you. So I’m going to go ahead and select and then I can run my report. And I’m going to get a list of names. Okay, so here’s the list of people that I want to work with. Okay, it’s now a couple of options, I can work from the screen now, to me working from the entry screen, or the the report screen, as I’m seeing it here lends me the ability to say okay, well, I want to go into this person’s record. And I’m the administrator and I’m going to assign these tasks to people. So one way that you can don’t use DonorPerfect to help stay connected is to get the list of the people you want to stay connected to. And then you can start assigning them. So that’s the use of the contacts page. So I can go in here to my contacts page, and I can say, Alright, I want this to be done by next Tuesday, and it’s going to be a phone call, and it’s going to be assigned to Lori and Alright, and then I’m going to save so I took a report that I created and I’m turning around and from the report, I am saying okay, I want this person to call this person I want this person Some to call that person and it’s going to be recorded in their record in contacts. And then each person can either log into DonorPerfect and see their to dues or they can use the mobile app to see their to dues. And then they’re going to have kind of their work assigned to them. So what is that going to look like when things are assigned to people? Well, if you’re using the Contact page in a similar way to what I just did, when you go to the dashboard, all of you have the dashboard. And if you go to my dashboard, as you see indicated up here in the upper right hand corner, I can see the things that have been assigned to me. So this is my list, Laurie would have her own list, Shawn would have his own list. So now I can come in here. And I can say, Okay, well, who do I need to call, and I can click on any of these names, Oops, excuse me. And I if I click on the name, it will take me into that record, if I click on the date, it will take me into the contact the thing that I need to do. So now I can make my call and because again, up here in the donor profile. So some of you may or may not see that if you don’t look for show donor profile where mine says hide, and I can make my calls.
So then when it’s completed I can enter in my note, and I can press save.
All right. Now if I save this now look at that. Right here, this line right here, you’re watching me, I, I didn’t do anything, it now has my next task. It’s my second staying in touch phone call. Well, how did that get there? Well, what that’s a result of is a smart action. So a smart action is another way that you can use DonorPerfect to help stay connected. So you could kind of create, I often refer to this as a pipeline. Now to to make this happen, you have to build it. So it is an option found under Settings. And again, I can’t go into too much detail here. But a smart action is a business rule. If x happens in the record, then do Y. So I had a smart action that said when a contact of a phone call is completed, create the next action to be seven days later. Now I’m choosing the time period, I could say three, three, excuse me 30 days later, I could have it be six months later, but I am creating tasks. But I don’t have to manually do each and every one of them. Okay, now another way that DonorPerfect is handy is if I want to stay connected. So you all said that I saw come up is that you make phone calls, you’re doing emails you’re sending letters. Well, if I spoken to Kate, and it was such a great conversation, one of the things that I could do is I could do a letter right from her record. So I am on the main page of her record and I can click on instant merge, and I can produce a letter and it’s going to print it out
and then I can tuck it into an envelope and off I go. So that’s another way that I can use DonorPerfect to stay connected. And then a third way that I can use DonorPerfect and this is with one of our partners Constant Contact is I can create e communications and I can create a list from DonorPerfect and it will push it across what I call the Constant Contact bridge over to constant contact and then I can retrieve it and use Constant Contact to send out my E communication. So what’s really kind of the the work and DonorPerfect is creating the list itself and that is simply using a filter of my choosing. So there’s a lot of ways that you can use DonorPerfect to do the very things that you said that you’re staying at wanting to stay connected with your donors. So I was excited to see that most of you said the similar things to what I suggested. So our resource stop, there are a lot of different webinars that might be beneficial to help you get up and running with staying connected. There is a great knowledge base article, if you search for the words called Contact Manager. For those of you who are able to use Smart Actions, there’s a great one about Smart Actions. And for this to really work kind of in the flow that I suggested of starting with a list of people, then you would have to understand a little bit about selection filters. In terms of our shout out of product partners, there’s DP mobile, which is one that we we designed, but there’s also Constant Contact. Okay, well, the next one, the next kind of way, that DonorPerfect. So this is number four, that can help you in this time. That is a little bit different than if you will new normal, this is our new normal is talking about segmenting your list. So what I’d like you to do is grab that handout that you have, hopefully you’ve downloaded it, it should look something oops, it should look something I need to grab my own. I have it here, I just need to get it. It should look something similar to this. Okay. And what it is, is it’s a way to think creatively about your donors. Okay, so I’m just giving you a heads up that we need you to grab your handout. So I’m gonna come back to that. Okay, so one of the things that I was encouraged to do recently, probably like six weeks ago, was to think creatively or out of the box about the people, the groups of people I interact with. And the reason I was encouraged in this kind of session of mine, is sometimes we get into a zone where we just think about the same people the same way. And we limit ourselves. So when I thought about that, as I was preparing for this webinar, I thought, Well, why would not apply here, because as nonprofit professionals, we know who we know, and we know what we want to do. But now we have to think about it differently. So thinking creatively may be helpful. So what I did is I came up with some creative ways of grouping donors, so I have my loyal legends. So my loyal legends, in my mind are those donors who have given five plus years of donating. So they’ve been with me for a long time. My generous giants are those who are able to give a larger gift. They’re my major donors. My gems now I can’t take credit for all of these names. Some of my team came up with this, my gems they give they this is a person who gives every month. So my recurring donors. My starting superstars are my first time donors, they’re my new donors. And you know, I don’t believe that it’s surprised anybody. But when we’re in this kind of unique time in our lives, this group of donors are starting superstars are the ones that we have to really kind of engage quickly because they don’t know us, as well as some of our loyal legends. So we run the risk of potentially not being able to retain them. So what I’m encouraging you to do, and I’m just gonna pause for a brief moment is to work through this exercise with me. So, come up with a segment, what is your segment, and you can use my names or my team’s names if you’d like. But what is a segment that is somebody that you would want to target? Okay, then how would you describe them? So in some respects, what I’m asking you to do or suggesting that you think about in the description is what what’s the qualifier? Then how is that segment identified in DonorPerfect, and I see that somebody wants to see the names again, I’ll bring that right back up. Then the next is what’s the best way to connect with this segment. Okay, so in you can see in this example, since we don’t have many email addresses for these donors, direct mail followed up by phone call is the best option. Then what is needed to connect with this segment? And you can kind of see my map of what it is that I’m doing So my suggestions were loyal legends, generous giants gems are the those who gives every month and starting superstars
All right, so loyal legends, generous giants, gems, and start starting superstars. And with the segment worksheet to creatively think about how can you segment your own groups, your own donors, your own constituents. So what that might look like is once you’ve filled this out, and again, this is just a suggestion is then you can take it and apply it to DonorPerfect. So since I said for this segment, I don’t have many email addresses, I need to do a direct mail piece, well, I’m going to go to a place where I can do an export, I can create a list that I can then do a direct mail piece, and there’s two places one is under the Report Center for export to file. The second is under mailings and mail merge. Then what we have to do is we have to be able to apply our filter.
Okay, so I had my filter defined as those who have given. Okay, so let me just pull up the information they’ve donated. They’ve been donors for five years or more. And they have been doing that like in the last eight years. So there are two fields, let me just pull this up. There are two fields that you all have that you can use called years donated, and their last contribution date. And this is just one example. This is not necessarily what you’re going to use, but you want to think about how can you identify who those constituents are. Now, if you liked this exercise, but you need help with that, please let us know we would love the opportunity to help you come up with those segments that are going to be applicable to you. Then once you have your filter built, then you can export the information and work with it in Excel. Or if you know that it’s the right people, you can upload your letter and you can merge it right away. So you have a couple of options. But the thing to keep in mind about this particular way that DonorPerfect can help you is that all that data is in there. So now it’s just a matter of figuring out how do we select and apply the right filters to get the right people for your segments. Okay, so our resource Step Selection filters, there’s lots of webinars and content on selection, foot filters, exporting, and even financial reports might be a useful webinar for you to review. There are many different knowledge base articles that you might find useful for this selection filters, the Report Center export to file. Now our Shout Out is actually for donor search. Now, you might be wondering, why am I suggesting donor search? Well, donor search is one of our partners. That gives you the ability to do some screening, and it integrates with DonorPerfect so you can do the screening and bring the results back into the record. And now you have some additional data to use to help produce those various segments. Okay, so I see a couple of things that have been popping up about not being able to get the handouts. I apologize that the handouts are not cooperating for everybody, just know that you will get them in the email that is sent to you at the end of the webinar. Okay, the fifth way that DonorPerfect in its partners can help you is communicating with pictures and videos and many of you have said this. So one of the things that many of you suggested in a variety of ways is the importance of seeing each other those video calls with donors. Now. I want to make sure that I do my part and communicating that and demonstrating there. So here we go. Hi, everybody. I’m Kelly and it’s great to be here. It’s so nice to meet you. And I hope you are enjoying your time learning with me All right, so thanks, everybody be well. And off it goes. We don’t want to use up too much of that bandwidth. So video calls with your donors, text updates, you know, there’s, you know, DEP tax is one of those partners that you might find useful, creating simple videos to share in any type of E communication using Constant Contact. But another option that you have as people and your donors are supporting you, is using pictures and simple videos in a DP online form. Now, I don’t know how many of you have already set this up. But again, this is something that we can help you with, is if I go into my online forms.
Okay, so here’s a GIF. One simple little cute animation, not quite a video, but still, it’s an animation. Another option is let me go to a different form, you can use videos. Alright, now again, I’m showing you the things that are part of DonorPerfect. But as you can imagine, there are other tools out there. And we will get somebody connected with you right away. In terms of our resource stop for communicating with pictures and videos. We have two free webinars on online forums, of course, where you can use personalized training or one on one time, there’s a lot of great resources in the knowledge base on online forums. And our shout out to our partners DP text, great way to stay connected Constant Contact, you can embed those video links in there and then cause vid. So above and beyond everything that DonorPerfect offers, here’s some of what our partners can offer you as well. All right, looking at the clock and looking at my content, we are pretty much right on track. And we are at the sixth way that I’m sharing with you today in terms of how DonorPerfect and our partners can join you in your mission. And the last category is engaging and appreciating volunteers. I have to have heard countless times how people are just stepping up and volunteering they don’t normally volunteer. But even the ones that are you know committed to you are really helping you bridge that gap of uncertainty right now. And so as I think about engaging and appreciating volunteers, some of the things that come to mind is well, who are they? What are they doing? How often are they working? Okay, well, how do I get them to sign up? How do I get new volunteers? What’s a screening? Well, did you know that online forums, there’s a volunteer application template that you could make available, so it’s a link that you could send to them, or you could direct them to your site, and they could sign up that way, you can also with an online form, create a volunteer hour log, and with all that data in DonorPerfect, you can then turn around and kind of if you will manage it, and you can see it in a great couple of different reporting options. So hopping back into DonorPerfect to review everything that I’m kind of highlighting right now is I’m going to look up my donor, Sally blue. And she’s not only a donor, she’s a volunteer. So I’m going to go into her record. And when we’re talking about managing volunteer data in DonorPerfect. There’s several suggested ways that you can do it. But where we really recommend that their hours are stored is in other info. And you can see that I have my little badge here that this donor has volunteer hours. And that’s because that has been logged in other info. So I can see this is exactly what Sally has done. And I can see the details. But some people like to see at a glance how many hours has a volunteer actually volunteered. So I am showing you right here is a field that’s keeping track of that. And that’s called a calculated field. And DonorPerfect has that capability where you can build calculated fields to keep track of the number of volunteer hours. So you can enter all that into DonorPerfect and build calculated fields. And you’ll see it all within In the record, now, if you want to kind of not have to manually enter in the hours, but rather have the volunteer do that, well, then that would be a use for another type of online form. And there’s two different types. Okay, so we have a log and an application. So here’s my volunteer hours. Now, it’s not the, you know, the previous one, I’m sure my team, if I were to ask for help, they would happily, you know, help me set this up. So I’m just gonna go ahead and fill this information in. And I’m Sally blue, and I’m working today for four hours in administration, and I’m going to submit that. So now if everything’s working as it’s supposed to, I should be able to come back here and to DonorPerfect. Refresh, I didn’t need to look her up again. I just needed to refresh it. Let me get back into her record. And we’ll see, I don’t know. We’ll go here. To other. And I needed to download it, I failed to download it. Oh, my goodness. All right, it would have been downloaded and brought into the record. Everybody’s watching me, I got nervous. And then once that was brought in, it would then update this calculated field. How does the volunteer get access to the form? I just saw the question, well, that would be something that you would have to share with them and to maybe you email it to them, and then they would just click on that link each time they had volunteer hours.
All right. In terms of learning all the intricacies of building that type of form and how it gets downloaded and how the calculated fields are built, I would really encourage you to reach out the user to support or let us know that this is something that you would really like to do. And we would be happy to get you set up and running with that. Now the last thing to just kind of keep in mind about this type of information is a reporting. So some of you have the EZ report builder in your system. And there is the capability to design a report where you can see the number of hours that a person is volunteering.
So it’s just simply a report that’s keeping track of what everybody has done. Now, if you don’t have the EZ Report Builder, that’s okay. Because in the Report Center, you can also export this information into Excel.
So I’m exporting it out of the other table because that’s where it’s stored. And I can download it and I could get the data in Excel. And I need to remove my save filter. And we’ll try that again.
There we go there Sally blue. All right. So engaging and appreciating your volunteers is one of those things that if they are kind of your lifeline normally, maybe just now, I would imagine that you want to track that somehow and DonorPerfect can certainly be part of that solution. So what is our resource stop for engaging and appreciating volunteers? Well, online forms and using DEP reports are two webinars that you might find useful. There are some great resources if you search for volunteer management, you will find a an amazing resource in our knowledge base about that. The Report Center as well as creating forms are shout out for our partner is if you want to really have a more robust way of tracking volunteer information than what I’ve just kind of explained and demonstrated a little bit. One of our partners is called volunteer local and they are a system that you may find a little bit more fitting for what your need might be. So I have gone over a lot of information I admittedly am saying that At, but I wanted the opportunity to try and convey that DonorPerfect has some great tools built into it to help you not only now but anytime, in terms of as a team, you and me all of us together, what other resources are available to you? Well, in DP community if you haven’t already done so I would encourage you to join the community group COVID-19 Resource Group for fundraisers, there’s a great wealth of information there, and you’re able to engage with each other. The Knowledge Base is just filled with all sorts of resources. There’s a topic and knowledge base called the feature articles, you might find those useful as well. There’s live webinars, there’s a library of recorded webinars. And as I highlighted early on, we really truly do want to partner with you and see what we can do to help you in kind of completing our time together.
