Afternoon, everybody. Today we are going to be getting into DonorPerfect phones 101. We’re going to be discussing the new drag and drop forms in today’s webinar. My name is Shawn McClellan. And I’m going to be your trainer today. So what are some strengths of using DonorPerfect online forms? It’s very easy to use the new forms utilize a drag and drop functionality, where basically you just get a universal menu on the left hand sides, you pick what you want, you pull it into the form where you’d like to see it, add a few details, and you’re good to go. The other benefit is that anything that’s already in the form, if you want to make a change to it, you select the item or object on the form and the menu will update to have the information relevant to that particular section. So gone are the days of having to memorize where a bunch of different items are located. In the convoluted menu, so they’re simple, they’re easy to use, like I said, they utilize a drag and drop functionality. They’re also effective, they have a higher conversion rate than our classic form, which fits into strategies for acquiring and retaining more donors. And donor donors see these forms, they recognize the more modern look. And they are more likely to give, especially if you set up your forms to match your organization’s website. Our own internal metrics have indicated that these forums have a conversion rate as high as 38%. While the industry on average is about 21, to 22%. They are also more readily mobile responsive. So there’s no lag in the form loading on certain physical platforms such as a phone versus a computer. Also embedding the forms. If you’ve ever tried to embed the classic forms, I’m sure you’ve run into some some difficulties there, the new forms are much easier to embed, you simply take the URL and attach it to your website tool. Now, as of right now, so slideshow is going crazy. As of right now, these new online forms are only available for us clients. We are working to make them available for our Canadian clients. So if you are in Canada, just keep your ears open, I will be letting you know what’s there available to you.
So today, we’re going to talk about what you’ll want to do before you get started. We’re going to talk about some form highlights. And we’re going to walk through creating a form. Before we showcase some of the data in DonorPerfect. This is one of our shorter webinars, we’re probably looking closer to 4045 minutes than the full hour. So honestly, I think that generally is a good thing because it shows cases that these new form tools aren’t as complicated to utilize as the classic forms in the past. Plus, it leaves us more time for questions if folks have them, or you just get some extra time back at the end of your day. So using the questions box, what is one way that you would like to use the new DonorPerfect forms?
See some answers coming in website donation pages, click throughs for various fundraisers, one one person saying events right now, the end actually I’ve seen events and surveys. Right now the new forms aren’t set up to handle events. They’re not integrating with the Event Management yet. And as far as surveys you can add some survey questions to the forms but they aren’t donation forms currently. But this is the first iteration of the new forms. So as as we get more use data and we make sure that everything you know for the foundation is good to go. Obviously we will add things like registrations events and the like. So if you are looking forward to a Event Registration, Camp registration, anything like that, you will want to stick with the classic forms for those specific items. But the new forms, it doesn’t cost anything to sign up and start using them. So if you want to use them for basic donations for monthly giving, I see we have some people saying monthly giving, the new forms are going to be more than capable of handling that. Christina will be discussing where they access the new forms during the presentation. So before we get started with the new forms, you’re going to want to make sure that you have a provision form account. So I’m going to drop a link in the questions box for everybody.
So you can either fill out that survey, or if you reach out to your account manager or if you talk to the support team, they’ll be able to assist you in getting started. As we are kind of opening the floodgates or so to speak for the new online forms, we do have a lot of organizations all asking to be set up at pretty much the same time. So there’s a wait period of about four weeks may form might get your form account might be created before that. But we asked for in four weeks before everything is going to be finalized. Now, you’ll also want to make sure that you have a safe save payments gateway. In order to you need that in order to accept online donations, if you’re already using classic forms, you’re set. And of course, as part of your gateway, you’ll have a merchant processor, that’s actually going to be moving the money from one account to the other.
Now we already discussed some of the benefits of the new forum highlights the drag and drop functionality, really easy to use. Last fall, we had our DonorPerfect community conference and I was tapped to set up a short session on the new forms, you know, I had never used them before. Outside of maybe like one kind of mandatory demo during a meeting. And a colleague set me up with an account, within 10 minutes, I had a new form. So I would say for most of you. And when you get set up with enough new forms, you’ll probably have a pretty similar experience 1015, maybe 20 minutes, and you’re going to have a form that matches your branding and matches your website contains all the information that you’re looking to share with your donors and is ready to process donations. Unlike the for example, with the classic forms where maybe setting up that first forum took a little bit longer. Again, branding, very easy, you can plug in a header, you can make sure that your emails and your confirmation messages match with your logos, the color of the form, you can set that up to match your website. So that was a seamless transition. And embedding forms is much easier. We still don’t provide direct training or assistance with embedding because it’s going to depend on your website tools. But you no longer require the use of iframe payment options. You’ve got all of your your old standbys, there’s credit card options, debit cards, but now your donors can also for their one time donations. They can use Pay Pal and then no. Now we currently don’t have that as an option for recurring. That may change down the road right now if they do a one time payment they can choose to sign in with PayPal or Venmo assuming your organization has a business paypal account is asking you if we had to we have to get the new forms if we are already using classic? Absolutely not. Eventually it’ll be rolled out to every organization. But while classic forms are still available, you are not going to be required to make a switch
want to make sure I’m getting all the other questions Kathy was mentioning membership forms he may not be able to display all of this membership benefits the same way that you were doing so with the classic forms, but because membership form memberships and DonorPerfect tied to general Ledger’s, you could set up one of our new forms to collect membership payments. Like I said, it just may not display all of the benefits the same way that you’re used to seeing. And then would we be able to use these forms for on the go or mobile donation setup a tablet that we have during an event? Yeah, I don’t see why you wouldn’t be able to use these forms or something like that. I mean, the donors just have to fill them out and put their credit card information into the, into the tablet and everything like that. But they’ll it’ll display on a tablet just fine. And then the last thing is, we still provide the ability to create tributes. Only now, instead of only having one recipient for the notification, you, your donors can put in as many recipients as needed. So if you know, friend or colleague or family member that your donor knows passes away, they can put in more than one person to receive updates.
Now to get started, you’ll go under Apps. And then once you have the new online forms activated for your account, you’ll see a little arrow and you’ll have two options, the drag and drop form builder, and the classic forms. These forms can be set up for monthly giving one time or a hybrid. Now as far as my slideshow is concerned, that’s it. So we’re gonna go right into the demo. So apps, online forms, drag and drop form builder.
We can see we’ve got a new version of the review and acceptance center, we can see how many donations have come in the amount of money that’s been raised. You can view existing forms. So for example, I can view my general donation form
you can share those forms and get that that’s the length that you would use for your website embedding. You can edit the form, you can copy the form, you can delete the form. Clicking on the name of the form will also allow you to edit the form. To create a new form, you’ll just click on Create new form. And it’s going to start by asking you what you want to showcase just donations. Or if you want to include the impact. This is not a permanent decision, it’s not set in stone. If you change your mind later, you can change that in the form. I’m going to start with just donation amounts and then I’m going to add the impact and a little bit and then we’re gonna go ahead and give the form a name. So actually, because we had memberships as an option, Kathy we’ll go ahead and call this our and membership form.
We can start by putting in a header image. And you’ll notice there’s just one menu here on the left. It is context sensitive. So if I click on the header, it’s going to ask me for a description. And if I click on the donation option is going to give me the donation amounts if I select the dedication, and there’s no edits to be made here, so it’s going to just go back to the main menu option. But again, gone are the days of having to remember, do I need to go to the basics do I need to go to fields and items under Payment Method, and you can link to a PayPal account. But before I get too far ahead of myself, I’m gonna go ahead and take an image I have it just saved on my computer. I just gotta drag and drop it over. And now I’ve got my logo. If I want to update the style, and it defaults to like a gray and gold option, I can go to the style here on the left. From my backgrounds, we use this little teardrop icon and I’m going to try to get as close as I can there from my accent again teardrop. Now now everything it’s good to go from my title
I can put a title in there. If you don’t want a title, you can always delete the item. If you wanted to add a form title or later text you can put it right back in Under the give, you can enter in your gift amounts. So for example, I might have no one time amounts, I might have monthly amounts under amount settings here on the left, you can turn off one or the other. So if this is like a membership forum, I might turn off monthly. And I might also include the description of gift impact I can update the section header
and then I could put in the different amounts, so $25, you know, that might make me a bronze member at 50 that could make me a Silver member I could do 75 For gold membership, I guess membership sounds better.
And then maybe at 100, it’s Platinum membership. And you can pick a default amount. So you know, if we’re looking to sell most of the default men, you know, silver memberships, maybe I do default under silver, if I’m looking to do $75 Gold memberships, I can default that now the one reason you may not want to use this form as a membership form is there is an other amount and that cannot be removed. So that’s just something to keep in mind if you are looking for this to be a potential membership form
if you want the donation to be something that can be dedicated, you can leave that option on there if you don’t, you can remove it. And then you’ll notice that once it’s been removed, you have the ability to drag
and drop it back on. Same thing with the donor offset fees what we often refer to as donor covers cost and you can keep that on there you can remove it
again once you take it off you can drag it back on you can modify those offset fees at 3% up to $10 is the industry average but there’s nothing preventing you from changing those you can also mark it as selected by default or you can uncheck and if you’re curious as to what those are you can see a description of the offset fees down there
now we’re gonna go ahead and just rename this or we’re gonna take it off of the girls off the membership option.
So, if you want to rename the form you can rename the form
for your donation amounts. If you have on one time and monthly change from the classic forms are the one time amounts can be set up differently from the monthly amounts. So for example, my one time amounts now I can make my smallest gift $50 And then I can make the next $100 And then I can go with 150 and then I can even create a $200 value and then for my monthly amounts I can have smaller values that are going to be more enticing for people to sign up on the monthly level. So
now $15 A month I can say
there’s a catch all provides access to educational workshops and $25 a month might be funds after school program for you For three girls for a month, and $50, I’m running out of ideas. Usually I make these forms for animal shelters and it’s just it needs an animal for this long. And we can say
now we can have different options in there. And then for our one time amounts, because our values are different, we can also put in unique options. Having the impact, including what the donation goes to, has proven to increase giving both in your attention and giving amounts. Donors feel more confident about your organization when they know what their money is going to map. If you don’t know what you’re giving your impacts billables are going to be at, you can turn off the description of the gift impact. Just be aware, if you do turn off the description, and then you turn it back on, it does clear out the descriptions that you had.
Again, under payment, you can link to a PayPal account, your organization must have a business paypal account. In order for that to work, your donors can utilize it for one time gifts, if they select a monthly gift, there’s not going to be a PayPal option available for them. PayPal, the Pay Pal option does also allow them to donate using Venmo.
Under hidden fields, you can assign a campaign code you can assign a general ledger you know this could go to our annual fund, you can assign a solicitation code, you can assign a sub solicitation code, if desired. If you want to give your learners the ability to choose their their own ledger, for example, I can remove the hidden code and under build, I can very easily add a drop down. So for example, I can say
that drop down, put it right there, map the fields of DonorPerfect. I can pick any field on the gift screen that hasn’t already been utilized. The general ledger is going to have that say I would like my donation to go toward I can make that a required field, I can edit the drop down values. And if I only want certain options to be available, I can uncheck some things
could have been aware and needed most.
Building funds
for stricter contributions, I might say no like other
if I’m going to have the other option on there, I think you know I might want to include the memo box.
And I can map that is the gift narrative field.
And you can provide a default value if you’d like. Now, you may have noticed in the upper left corner, there is a little last saved option. The form will save automatically as you work through things. So even if I update the title, it saves that automatically. Now it won’t publish those changes until I click the Publish button. So if I look at this form, it’s not going to have any of the new changes that I put in. Let me just check the questions here real quick because I saw a bunch of popped in. Someone asked you to sign up for the new forms. Yes, if you don’t already have the new forms, I put a link in chat that you can use to sign up or you can talk to your account manager and they can provide you with that they can help get you signed up. Janice asks, can an organization have both drag and drop forms plus classic forms? Or do they need to choose? You can you can use whichever version of those forms you’d like. You do not have to pick one or the other. Kathy asking the set of annual amounts as of right now we only have one time and monthly, I’d imagine annual will probably come come through the pipeline at some point, especially for like once we have like a dedicated membership form, because again, this one will always have the other button. So while it does technically work, may not be the best option. RoseMarie asked, can you make other a minimum default, the minimum default is just going to be more than zero, your gateway will likely have a minimum amount of $5. Because that’s, that’s a fraud and phishing prevention method. So I mean, if they try to donate less than five, the forum is going to yell at him and say can’t process yell in quotes. But now you can’t put like a minimum value in the other amount. Heidi is the interface is different than the online forums. This is a new version, I guess we are talking about the new online forms, which you can access under online forms drag and drop form builder. If you don’t have access to the new forms yet, you can sign up with the form link I put in chat, where you can reach out to your account manager.
Lee had a question about the tribute going to the honoree being the same one that goes to the donor, if you can elaborate on that a little bit, I might be able to give you some more information. As far as when they fill it out if they want if if I’m making a donation and you know in honor of like my father, and I put myself as the notification recipient, will I be confused as a donor that I’m getting a letter about that? Maybe but I’m also the one that filled it out that way. I mean, they can uncheck having somebody be notified, you can uncheck that as the default option if you’d like. So they don’t fit on a silly hike have to choose that. But again, if you give me a little bit more information, I can try to explain that better.
Li if that’s the experience that you’re having reach out to the support team, and we need to make sure that there’s not something that’s set up in your attributes area incorrectly, because that that’s not how things are supposed to be operating, give give the support team a call. And they can they can take a look at your system with you and try to get that resolved.
You can include additional images, very easy to add those in, I can click on the Image option there. And for example, if I wanted to put a logo, I could do that. And of course, that logo doesn’t make any sense with my header. So I’m going to remove it playing out you don’t have to know any sort of fancy HTML anymore, you can just drag and drop the image. Under Settings, you can customize your confirmation page. So for example, I could remove that option and I can put my logo in there
if I click on the picture button and you can resize it you can update the message here. You can include links so if you have like Facebook, any sort of social media, you can put links to those in there. And you can also set up the thank you so another change between the classic forms and the new forms is in the classic forms, it’ll send an email but then DonorPerfect will still prompts you to try to send a receipt. The new forms no longer do that. When the email is sent, DonorPerfect when it gets downloaded, downloads and considers having been acknowledged because an email was sent to the donor. Now you can either allow the form to send the email or you can tell the form to use one of your templates so for example I can tell this form Hey download with the standard thank you and then in DonorPerfect under mailings email templates it’ll find my standard thank you and it’ll send this email so if you don’t want to have to manage a whole bunch of different forms emails, you can just tell them all to use you know a standard email or you can have an email setup in DonorPerfect at the bottom, you do you have to provide some contact information bare minimum there has to be an email address
and then or then phone number if you’d like you can choose to display or remove
extra five minute there we go. You can display or move your 501 C three. Kathy is asking can you have the dedication via drop down with multiple selections available. So tributes, because tributes are going to be such a personalized item, every system is going to have different tributes, there’s not an option to have a drop down appear. Because one, if they want to put in a new tribute drop down wouldn’t have necessarily have access to that. And too, you don’t necessarily want to be sharing all of the attributes that are currently in your database with everybody because again, in some cases, those are very personal. I wouldn’t necessarily want a website to have a drop down that has the name of my cat who passed away recently in there because immediately for me that’s that would be a bummer. Yeah, seeing that especially knowing that there’s other people that are looking at it, so they’re gonna have to enter in the attribute name. Now if the attribute name matches, DonorPerfect will download the attribute and put the gift with the same record. If it doesn’t match, you can still merge it later. When you are done setting up your form you can click the Publish button
and then we can fill it out I’m just gonna make sure that I have the right record up the phone and make a donation I want that to go towards where needed most
put my personal information in here. Email is now a required field so that’ll make it easy for you to keep up with your donors and make sure that they’re getting their receipts
they’ll select the payment method
if their billing information is not the same, they can fill that out. If they want to do a doughnut covers costs they can do that and then they’ll review their donation
review my details and their receipt and help offset processing fees.
And then, give it a little bit of time it’s going to show up in DonorPerfect. In the meantime, I’ll check my email inbox see if I got a receipt
There’s my gift
that was the tribute sorry Lee if that’s what you’re referring to that that may be something that needs to be looked at.
Although we have the credit card annual funds can see all the codes that I selected. If I scroll down I can see I do have a tribute it did find the existing Apollo the cat, I was already marked as a recipient so even though on the form I didn’t put a recipient for it, DonorPerfect applied it because I already had that set up in the system. If we go into the tribute screen
we can see the donation there and then the email I received came directly from DonorPerfect so it even has a PDF attachment for me.
Just gonna look through the questions again. And asked if we have classic forms now and want to change the new forms will monthly donors be impacted or now. So if your monthly donors have pledges set up and they are processing automatically switching to new forms will not affect them because their pledges are are what’s running through everything. If you have donors who go to your website once a month and they make donations on their own, they might be caught off guard by things changing but as far as using monthly giving under Tasks a monthly giving the new forms will not impact that
Lee the receipt does not refer to follow the cat. So that is because the form can only use one receipt, the email template that I assigned it to does not have those fields. So if I had assigned it to the attribute type, it would be it would include that information but the receipt was sent to my standard template. So that’s as of right now the form can’t choose different receipts based off of the tribute button being checked. That might be something that we can try to incorporate down the road. But that was because the specific template does not include attribute details Amy astor’s that you did something amazing pop up how do you create that under Settings? That is your confirmation page. So every every form was going to have a default confirmation page and then you can customize that for your organization
all right. But that is the demo for the new forms. I didn’t see there’s a question there’s a couple of questions that are still coming in I’m gonna get those after the recap because they’re a little outside of specifically the new forms so it’ll be if you have questions keep people out on a roll in and we’ll we’ll tackle them. But the the new DonorPerfect for us provide an easy to use donor experience for accepting one time or monthly gifts. Like classic forms, they do require a safe save payment gateway. And the new forms can be customized to align with your brand and message. So at this time, if anybody has any questions, please feel free to keep popping those into the questions box and I’ll answer them as best I can. Let me see what we’ve got.
All right. What does advise to do so Heidi asked what what is advice when you have an old online form that has been disabled but a donor saves that link and continues to donate to it? So that’s more of a classic forms question. If they if you go into classic forms and you actually deactivate the form. So for example, this monthly donation form, if I just turn that off they won’t be able to access it anymore, like they might still have the link. But if I open up the monthly donation form, I’m gonna get this message and they can’t donate to it anymore. So just make sure that the form has been deactivated. The new forms do not have a deactivation option just yet. So if you have an old form that people keep donating to, you can delete it and now remove people’s ability to to contribute to that form. Genesis was the expected roll out date in the forms to be available in Canada. Last I heard I think it’s q1 of 2024. But I think that’s, that’s a conservative, you know, making sure that everything is ready guests. If things move faster, they’ll move faster. I’ll check with someone like Canadian colleagues to see if they’ve heard an update and I can email you just send me your email address Janice and I’ll give you an update if I have one.
Meghan asked her forms used primarily for fundraising are there other ways forms are used with donors, the new forms are fundraising only. The classic forms if you want to just do like signups and surveys, the classic forms can handle that for you.
Heidi, if you’re getting if the form is deactivated, make sure that they don’t have like a pledge that maybe still has some old codes attached to it. My recommendation, reach out to the support team, show them the donors record and then let them know what form it’s from. And we’ll make sure that they don’t have like a pledge that’s got some old codes on it. Lisa’s asking is there a limit to how many active forms you can have at one time? None that I’m aware of. I’m sure if you were to get up into the millions, it would probably make a server melt. But as far as like what is functionally doable for an organization. Now there’s no limit just the more you have and just make sure that you have you have a good organization method for them

right yeah, there’s there’s not really a soon as you have the form ready, you can, you can send the form out. So the new forms have a four week lead time. For a poll or a survey you’d want to use the classic forms. And then under signups and surveys, you could do like event follow up as an option. Say you don’t, you don’t need to use the new forms for that. You can use the classic forms and the event follow up is is the standard you’ll use for that one. If you preview, you can put any fields that you need in there. And you’ll be good to go. If you have any questions about using those forms, we do have an online forms that classic webinar.
